I have a case where a single person is working in two different branches, has two shifts, and from one branch getting paid in bank and from the second in cash. How to manage this in payroll? Also, both modes bank and cash sometimes have similar salary structures but, most of the time, different structures, as tax and other deductions are applicable only in bank mode. Secondly, that person has two different attendance IDs, e.g., 3478 in one and 5690 in the second, so how to keep his attendance check-in records?
@NCP can pls advise
I would retain this as one Employee record and deal with the two branches/shifts independently, rather than having two employees.
The tough element for attendance is the 2 attendance ids. If both IDs are the same individual you’d probably need to link the biometric/check-in records back to the same Employee before creating Attendance records.
For payroll you could split out the earnings into multiple salary components so that the bank-paid and cash-paid amounts can have different rules for deductions. The specific configuration would depend on how you want the cash portion treated for payroll/tax reporting.
@BlakeWest Thanks! I also prefer sticking to a single employee profile, but how should we handle different biometric IDs across locations? Do we need to log those check-in records manually?
Also, regarding payroll: some employees receive income from two different sources/branches. Since Frappe HR doesn’t allow two salary slips for the same employee in the same period, how can we handle this under one structure?
Specifically, when making the Bank Entry:
-
How do we exclude any portion paid in cash?
-
How do we handle split payments from two different bank accounts? (e.g., out of $100 total salary, $50 is paid from Branch A’s bank account and $50 from Branch B’s bank account).
One thing I’d check is whether each payment method is being handled separately in the payroll setup rather than trying to split the amount manually. It may also help to verify the employee’s payment mode and account details before submitting the payroll entry.
For now, it is one from the bank, the other in cash, but it can be different for another employee, like both in the bank but from different banks.
I’m also unsure about that part. If Frappe only allows one Salary Slip for an employee in a payroll period, I don’t think the two payments should be treated as two separate salary slips.
For the bank entry, I’d expect the cash portion to be excluded from the bank payment and the actual bank amounts split between the relevant bank accounts. However, I’m not sure whether there’s a standard way to represent that split while keeping everything under one Salary Slip.
The two biometric IDs also seem like they’d need to be mapped to the same Employee before the check-ins are processed. I’m curious to know if anyone has actually implemented this setup without customisation.
Agreed, it has to be a single Salary Slip. My main concern is how ERPNext handles the split Bank Entry natively for cash vs. dual banks without custom scripts. Also, mapping two biometric IDs to one employee without customization seems rare—let’s see if anyone has a standard workaround!
You can pass the paycheck through 1 paycheck Slip and then make different payments for each part i.e. transfer the salary to the respective bank accounts and the part in cash to a cash account. The key is to determine if ERPNext supports applying those partial payments to the same Salary Slip without causing problems during reconciliation. Don’t know if that’s natively supported, but would be worth a try in a sample setting.
Hi,
I don’t have my configuration in front of me, but I believe you should be able to just leave the bank info off the Payroll entry completely.
Then, salaries just go into a Payroll Payable account. From there, you can pay out with as many Payment Entry docs as you want, configured however you want.
