Service options in ERPNext

We are considering switching to ERPNext. However, we are a equipment dealer and repair shop, so we need a service mudule of some sort. We need to track serial numbers from new equipment purchased, to the sale of the new equipment, then track recurring maintenance on this equipment in the service module. Then if the customer trades the equipment in, we need to continue tracking it by serial number and stick it in used inventory while maintaining the service history.

Any suggestions are thoughts are appreciated.

Hi, I don’t deal in your specific use case. But it might help you out to ask the exact same question to AI. It will help you identify issues you can go back and forth and have a full conversation about all your specific needs and AI (Gemini, GPT, Claude) would know the features located in ERPNext. and if it doesn’t exist it can even help you desgin custom features with no coding skill.

@clmllg Hi there!

Welcome to the ERPNext community.

You’ll be glad to hear that ERPNext can handle this exact equipment lifecycle natively without needing heavy customizations or workarounds. The backbone of your entire workflow will rely on the native Serial Number feature in the Item Master.

Here is a breakdown of how you can map your business requirements directly into the system:

1. Purchasing and Selling (Tracking the Asset)

  • Incoming Stock: When you buy new equipment from a manufacturer via a Purchase Receipt, ERPNext will require you to assign a unique Serial No. to each machine.

  • Outgoing Stock: When you sell that equipment via a Delivery Note or Sales Invoice, you select that specific Serial No. out of your inventory. The system permanently logs which customer bought that exact machine.

2. Recurring Maintenance & Service History

ERPNext features robust service tools (traditionally managed via the Support module, which is seamlessly evolving into the modern Frappe Helpdesk ecosystem).

  • When a customer needs maintenance or a repair, you will create a Maintenance Visit or a service ticket.

  • These documents feature a dedicated Serial No. field. By linking every support query to the machine’s specific Serial No., the system automatically builds a service history timeline right inside that serial number’s profile.

3. The Trade-In & Used Inventory Loop

When a customer decides to trade in their equipment, the process is very clean:

  • You bring the machine back into your stock using a Stock Entry (Material Receipt) or a Purchase Invoice, routing it directly into a designated “Used Equipment” warehouse.

  • You simply reuse the same original Serial No.

Because ERPNext allows an existing serial number to re-enter your inventory active stock after it has been previously sold, the entire historical loop remains intact. You can successfully place a value on your used inventory while preserving every single past service record, customer ownership change, and repair log under that single serial profile.

This setup gives you full 360-degree visibility from the day the machine enters your shop as brand new, to its years in service, and finally to its life as a used asset.

Let me know if this workflow makes sense for your shop’s layout, or if you’d like to dive deeper into any specific step!:victory_hand:
