Best Practice for Paying Incentives After Monthly Salary Slip Is Already Created

Hi everyone,

What is the recommended way to handle an employee incentive in Frappe HR?

Example:

  • Monthly salary: ৳60,000
  • August salary paid on September 5
  • On September 10, the employee gets a ৳10,000 incentive
  • The monthly Salary Slip has already been created/submitted.

If I create an Additional Salary and try to run payroll again, ERPNext says the Salary Slip already exists.

What is the best practice in this situation?

Should I use Additional Salary, a separate Salary Slip, Payment Entry, or Employee Incentive?

Thanks!

Hi, since the Salary Slip has already been submitted, you cannot add the incentive to the same payroll.

Option 1 – Recommended:
Create the Employee Incentive and include it in the next payroll/Salary Slip. This keeps the incentive properly linked to payroll and accounting.

Option 2 – Immediate payment:
If the incentive must be paid immediately, handle it separately through the appropriate Journal Entry + Payment Entry rather than modifying the submitted Salary Slip.

I would prefer Option 1 unless there is a business requirement to pay the incentive immediately.

Thanks. My requirement is that the incentive should be processed through Payroll, but it should also be paid immediately, without waiting for the next monthly payroll.
What is the recommended standard approach in Frappe HR for this?

Once the payroll/Salary Slip has been submitted, you cannot directly add the incentive to it.

If the incentive must be processed through Payroll and paid immediately, one approach is to cancel the existing payroll/Salary Slip, add the incentive, and regenerate/re-submit the payroll so the incentive is included in the Salary Slip and payroll accounting.

However, this should only be done if the already-processed payroll can safely be cancelled and regenerated according to your payroll/accounting process.
