How to delete existing Item Code so that no furture orders can be booked in them?

We created some item codes which we have planned to discontinue. Now the problem is that these item codes have some transactions associated with them so we cannot delete them.


Now I would like to know how can we limit the use of these item codes in sales order or have them deactivated from the system so that no transactions can be carried out in them.

Hi Aditya,

You can change values for field mentioned below to deactivate them.

Is sales item - No
Is purchase item - No

This item won’t be suggested when making sales and purchase
transactions.

Would archive work, since if I need to change like 100 items then changing every one individually would take a longer time.


Here I would like to ask you one thing that what does the ARCHIVE function do?

Hi Aditya,

Archive is another function to inactive item. Its just like you trash
a master. It won’t be available while making new order. And you can
restore it any time in future.

So, archive records, as name suggest, will be in your database, but
non-active and restorable.

HI all,

I would not recommend using Archive - since it does not take into account the various workflows that may be affected. I will remove the feature in upcoming releases.

So we are one step back again.
So editing items one by one would be cumbersome…
any other idea ?

Hi Aditya,


If you have many such items, you can over-write values in required field (Is sales / purchase item or end of life) through CSV file.
