Need ERPNext guidance for Agro-Input Distribution Business (India)

Hello ERPNext Community,

I am running an Agro-Input Distribution Business in India, dealing in fertilizers, pesticides, seeds, and other agricultural solutions. My operations include wholesale and retail, and I also manage multiple branches and dealers. Every year, we handle large seasonal demand, so proper system setup is very important for us.

Business Background

Industry: Agriculture inputs (fertilizers, pesticides, seeds)

Business Type: Distribution + Retail + Dealer network

Company Size: Multi-branch, with multiple dealers and growing sales volume

Geography: Odisha, India

ERPNext Setup

ERPNext Version: v15 (Production)

Deployment: Self-hosted on Ubuntu 22.04 (bench in production mode)

Modules Currently in Use: Accounts, Sales, Purchase, Stock, CRM, HR

Customisation Requirement: Yes, business-specific workflows like dealer deposits and branch-wise stock management

Key Requirements / Questions

  1. Dealer Security Deposits – How to properly configure security deposits from dealers so they appear separately in accounts, remain refundable, and do not mix with advance payments or sales.

  2. Stock Transfers – Best method to transfer stock between multiple branches/stores while maintaining correct valuation and batch tracking.

  3. Sales & Purchase Workflows – Agro business often deals with credit sales, dealer schemes, and seasonal purchases. What is the best way to configure these?

  4. Reports & Customization – Need guidance on creating dealer-wise outstanding reports, product-wise profitability, and branch-level performance tracking.

  5. Training & Documentation – Looking for proper documentation or training resources (official or community-driven) that can help me learn ERPNext module-by-module for my agro distribution business.

What I Tried Already

Created liability accounts for deposits, but not sure if this is the correct approach.

Tried Stock Entry for branch transfers, but system asked for expense accounts which confused me.

Checked official documentation, but need business-specific guidance.

My Expectation

I am looking for step-by-step guidance or references (documentation / forum posts / videos) on how to properly configure ERPNext for an agro-input business like mine. If any consultant or experienced user has implemented ERPNext in agriculture or distribution domain, your suggestions will be very helpful.

Thanks in advance!

Hey @Dasmano
We can help you with your requirement.
We have already implemented ERPNext in Agrochemical business.

Kindly reach out to me at nsoral@dexciss.io

Thanks.

Hi @Dasmano,

Thank you for sharing such a clear overview of your business and ERPNext setup it’s great to see agro-input businesses leveraging open-source ERP systems like ERPNext.

I’ve worked with agrochemical distributors in India and helped implement ERPNext (v13–v15) for businesses that manage complex dealer networks, seasonal demand, and multi-branch stock operations very similar to your setup.

Here’s how I can help based on your key requirements:

:white_check_mark: Dealer Security Deposits:
We’ve implemented a clean structure using separate liability accounts with custom workflows that allow for proper tracking of refundable deposits without mixing them with advances or receivables.

:white_check_mark: Branch-wise Stock Transfers with Batch & Valuation:
Stock reconciliation and custom stock entry types (with automated accounting entries) help ensure traceability, even with batched items like pesticides and seeds.

:white_check_mark: Agro-Specific Workflows:
From credit limits and dealer-based pricing to scheme tracking and seasonal purchase planning we’ve built tailored solutions within ERPNext using custom scripts and configurations.

:white_check_mark: Reports & Dashboards:
We’ve developed dealer-wise aging reports, branch performance dashboards, and product-wise profitability analysis all built within ERPNext’s reporting engine and using tools like Script Reports when needed.

:white_check_mark: Training & Handover:
We offer structured training (module-by-module) specifically for agro businesses focused on practical use, not just theory.

If you’re open to it, I’d be happy to connect and share a walkthrough of our past implementations or even offer guidance on specific modules you’re setting up.

Feel free to DM me here or reach me directly at [lmate@dexciss.io/ 7972689808].

Wishing you success on your ERP journey happy to support however I can.

Best regards,
Lokesh Mate
