Hie,

We want to sample stock out from our warehouse to client on returnable base then how to show & where to show in ERP Next?

Hi Megha,

Welcome to the ERPNext world. Here’s hoping you have a great experience here and with ERPNext.

You’re saying you want to send an item to a customer and you want to monitor the return of that item.

There are accounting, regulatory and logistics related issues. Please collaborate with your accounting/regulatory consultant before you decide which option to go with:

  1. Make a Delivery Note. Add a Check Box Returnable. When the Item gets returned, simple Cancel the delivery note. Or make a purchase receipt, add a custom field in the Purchase Receipt and link it to the Delivery Note. If Cancel is good enough, run a report that has Returnable Checked and is Submitted and those are the samples that still haven’t been returned by your clients
  2. Do a Stock Entry Purpose: Material Issue to send the Sample out. And a Stock Entry Purpose: Material Receipt. Add a Custom Field and link it to Customer. Add another Custom Field in and Point it to Stock Entry so that you can link the outbound and inbound documents. Alternatively, you can just cancel the outbound transaction when the Sample gets returned
  3. Do a Stock Entry Purpose: Material Transfer and Transfer the Samples to a Target Warehouse: Samples to be Returned. Add the Custom Fields to link to Customer and Stock Entry as in No. 2 above. When the Samples are returned by customers, do another Stock Entry Purpose: Material Transfer and Drop the Item from the Samples to be Returned warehouse to a Warehouse that you want to stock returned samples at. Running a Stock Balance report will tell you the Items that have gone out as Samples and are not returned back. Alternatively you can again simply cancel the Outbound entry.

In each case you can, with minimal effort make the print format read anything: Returnable Gate Pass. Or Delivery Note or whatever you want. And you can (especially if you decide to simply cancel the outbound document when the sample gets returned), build a report that will help you to track Samples that are to be returned.

Thanks you Sir.
1-Please let us know how to add check Box Returnable in delivery Note.
2- We prepared one sample delivery note & given stock effect also to delivery note, but stock effect not taken in stock balance ledger and we required stock on hand.
3- where we can check setting of delivery note.

Hi Megha,

You have to explore ERPNext and try and figure out the answers to your questions by googling, watching videos, etc.

Those are fairly simple questions and there is enough documentation and videos available for you to get the hang of the things you asked,.
