Simple but perhaps obvious question... (not a feature request)

Hello-

In the ongoing effort to move all of our business processes into ERPNext, we’re at the point where we’ve gotten staff to start entering their hours in the system daily - requisite for the type of contracts we have. But I think I’m missing a piece that someone with an accounting background would know instinctively; how do I connect hours billed against an ongoing task’s budget?  Basically, employee X works 25 hours for client Y with a ceiling of $25,000… how do I map (and deduct) those hours from a project, assuming I’ve set it up correctly?

I have to define an hourly rate for each employee, and be able to run some sort of weekly report that shows a breakdown of hours vs. tasks.  

Apologies if the answer is obvious, but I’m a software guy not an accountant. I’ve read and re-read the help file and snooped around the forum as well, and I’m still stuck.

You are right about the missing link. We would be happy to take this opportunity for completing the project-time sheet-billing link.

I have some questions:

  1. Do you bill per task or based on timeheet?
  2. In the sales invoice do you show how much each person has worked or you show the task. Or do you bill for the entire project?
  3. In the timesheet, do you capture both billable and non billable hours.
  4. Do you submit timesheets to the customer?

We will update the hours and cost to the project. Will post you as soon as its done. Probably next week.

To answer your questions:
1. We bill per task; an employee's day can either be split among multiple tasks or devoted to one.
2. Sales; we invoice monthly but only bill aggregate hours worked across the company. We do, however, have to keep a record of who worked what task and for how long to be compliant with legal obligations.
3. Yes, both billable and non-billable.
4. No, but we do have to store them for several years in the event of an audit. It's common in our field (gov't contracting) to have our timekeeping practices audited regularly.

Could you please do let me know whether it is possible to maintain  OT Hrs entry for my  Workers at factory to calculate the month end payment. I know that it is not available in your attendance app.

Hello Rajesh,

You can track employee's working hours in Time Log. A report can be made on Time Log to see total hours employee worked for in a month.

http://erpnext.org/time-log

If total hours worked is more than standard, then Earning Type of Over Time should be added manually in the employee's salary Slip.
